Step by Step
- Open the Display Contacts window (HR> Display> Contacts).
- The Display Contacts window will display all of the open contact requests in the application.
- Highlight a contact request and press ENTER or click the Modify icon
to open the selected contact request. This will open the Contact Maintenance window.
- The Contact Maintenance window has a Request tab and a Response tab.
- The Request tab displays the employee-specified elements of the contact request. If the employee chose to send the contact request anonymously, the Employee Number and Department fields will be disabled.
- The Response tab is used to enter the response to the employee.
- Because these contact responses are designed to be used with a wide variety of email systems, any user-defined display customization must be accomplished using HTML (Hyper Text Markup Language) tags.
- These tags are most often used in pairs. Only the words, phrases or paragraphs that fall between the opening tag and the closing tag will be affected. For example, in the following sentence, the words "username" and "password" would appear in italicized text on the email.
- To complete the registration process, please access the Employee Self Service portal using your <i>username</i> and <i>password</i>.
- Here are a few of the most commonly used HTML tags:
- For a more comprehensive list of HTML tags, please refer to one of the many free, online HTML tutorials such as W3Schools.com. Here you can learn how to insert tags used to change font styles, create web site links and insert pictures.
- This field can accommodate up to 2,500 characters.
- Click the Save icon
or press ENTER to send the response to the specified employee. If the contact was generated anonymously, this will simply save the response for your records.
HTML Tag Effect <b> </b> This is the Bold markup tag. Any words or phrases between these tags will be displayed in bold text.
Please note that email responses generated through the HR Contact Display window will always appear in bold type.
<i> </i> This is the Italic markup tag. Any words or phrases between these tags will be displayed in italicized text. <br /> This is the Line Break markup tag. Place this tag at the end of a line if you wish to return to the beginning of the next line. You can also use this tag between lines to increase the space between one line and the next.
This is a self-contained, single tag that does not require an opening tag and a closing tag like the other tags described here.
- If the contact request warrants the creation of an HR Personnel Action Form, click the Generate icon
to generate a PAF from the contact request. This will launch the PAF Wizard. Click here for information on the PAF Wizard.
