Springbrook User Login Guide

Springbrook offers a Single Sign-On solution (SSO), powered by Auth0 for the Springbrook Enterprise Cloud, Reporting & Analytics (Tableau), and Cirrus applications. With our SSO solution we have also added Multi-Factor Authentication (MFA) through an Authenticator App, FIDO Security Key, Voice Call, or SMS/Text Message.

Our cloud hosted Enterprise, Cirrus, and Tableau applications are accessed via a unified Application Portal experience. This portal provides access to your applications following login in a single location - http://portal.springbrooksoftware.com/.

 

Getting Started

After your User has been created in Springbrook, you will need to establish your initial password and set up multi-factor authentication.

 

  • If you are a new Springbrook user you will receive an email with information about logging in. Check your inbox for a ‘Welcome to Springbrook’ email from [email protected]. If you don’t see the email, please check your junk folder.

 

 

  • Follow the link to http://portal.springbrooksoftware.com/ to access your Springbrook applications. At the Login step enter the email address associated with your Springbrook User and select continue.

 

 

  • At the Enter Your Password step select the Forgot Password? option.

 

 

  • In the Forgot Your Password? step you should see the email address you entered earlier. Select the Continue option.

 

 

  • This will generate an email with a link to set your password.

 

 

  • Select link in the email to set the initial password for your user. Please note the link will expire.

 

 

  • After successfully setting the password, you are given a confirmation message and should select the Back to Springbrook Cloud Portal option to return to the Log in window.

 

 

  • The first-time logging in you will be required to configure multi-factor authentication on the Secure Your Account step. You will be prompted to go through this configuration after entering your email address and password and selecting Continue. You will be given an option to select an Authenticator App, Security Key, or Phone as your MFA device.

    • The Authenticator App option is an application installed on a mobile phone. The application is accessed to obtain authentication codes. Google Authenticator, Microsoft Authenticator, Auth0 Guardian, and DOU are known authenticator apps that work with Auth0’s Authentication process.

    • The Security Key option allows you to use Security Keys compatible with FIDO 2.0 Client to Authenticator Protocol 2, which Auth0’s WebAuthn supports. The Security Key is used to pass an authentication request. Some Security Key providers include Yubico YubiKeys and Google Titan Keys.

      • This option is a good fit for organizations that have an IT department. Springbrook is not a reseller of security keys and Springbrook staff will not provide training on the setup and use of these devices.

    • The phone option allows you to associate a phone number to receive authentication codes via either an SMS / Text Message or Voice Call. Springbrook’s toll free number for delivering these codes is 1-866-301-7111.

      • Only United States direct phone numbers are supported for receiving the authentication codes.

 

 

  • The following examples demonstrate setting up MFA with a Security Key. Setup of a security key will vary based on the key used and the browser you are using.

 

 

  • The following examples demonstrate setting up MFA with an Authenticator App.

 

 

  • On your mobile device

    • Install an authenticator app like Microsoft Authenticator, Google Authenticator, DUO, or Auth0 Guardian.

    • Open the Authenticator App and navigate to the Add an account option.

    • Select the option to scan the QR Code and then scan the code presented in the Secure Your Account step on your desktop. This will add the account for your Springbrook User in the authenticator app.

      • If you cannot scan the code, you can select the ‘Trouble Scanning?’ option to be presented with an ID to enter instead.

    • Once the account is added you will be able to select it and access your authentication code. This authentication code will recycle every 30 seconds.

  • Enter the authentication code in the "Enter your one time code" section of the Secure Your Account step and then select Continue.

 

  • The following examples demonstrate setting up MFA with a Phone (SMS / Text or Voice Call).

    • Enter the phone number and select to receive code via Text Message or Voice Call.

 

 

  • Once code is received select Continue and provide the one-time code.

 

 

  • You can select the Remember this device for 30 days option to be presented with the requirement for second factor authentication less frequently. Clearing browser cookies or accessing Springbrook from a different machine or browser will require you to complete second factor authentication.

  • You must install WebView2 for the Edge browser to use the Auth0 login. If you have not completed the install or there is an issue with the install you may be presented with an error after entering your verification code "Please fill out required field." If you believe you have installed WebView2 and encounter this message, please try the following:

  • Once verified you will be redirected to the application portal.

    • On the application portal you will be presented with the applications that you have access to.

 

 

  • If you have completed your login successfully, but the expected applications are not available to you in the application portal, or you have attempted to launch the application but it has not opened, please check the following:

    • Verify that the application is not open but just not visible on the desktop. The application may have opened on another monitor/display or may have opened to the system tray. There are settings in Springbrook user preferences that can set the application open open only in the system tray and not on the desktop.

    • Verify that you are not attempting to launch an application that you do not have access to as you may be using an email address that is not assigned to an active user. Contact your local Springbrook Administrator to confirm.

  • After MFA is configured, you will log in with your email address and password and then will be prompted to provide your chosen second factor authentication.

 

 

  • For MFA via an Authenticator App you will be prompted to provide an authentication code. This code is accessed by opening the account you created in your installed authenticator app on your mobile device.

 

 

  • For MFA via a Voice Call or Text Message you will be prompted to send and then enter a one-time code to the selected method.

 

 

  • For MFA via a Security Key make sure you have your device.

 

 

  • Select your key.

 

 

  • Select your key and use it to authenticate.

 

 

  • In the event that you need to re-establish your MFA account (lost device/new device…) please contact your local Springbrook administrator to request that they reset MFA under your Springbrook Enterprise User.
