Configure task options

Configure the options available to users when creating tasks. You can create task types, statuses, and templates.

  • Task Statuses are the statuses users can apply to tasks while working on or completing them. There are two status categories: Pending and Completed.

    • Pending statuses are used for tasks still in progress.

    • Completed statuses are used when a task is completed or cancelled. For example, you could create a Cancelled or Rejected status in the Completed category. Learn more: Complete and reopen tasks

  • Task Types are the options available for Type. Task types could be related to any kind of work, such as Parcel Updates, Appraisal Reviews, and Miscellaneous.

  • Task Templates are templates with a pre-defined description, type, and number of days to complete. Tasks created using a template will use these pre-defined settings.

Prerequisites

Administer Tasks permission is required to edit and delete task statuses, types, and templates.

Create task statuses

  1. From the left-side navigation, select Settings > Tasks.

  2. On the Task Statuses panel, select Edit.

  3. Select Add Row.

  4. Populate the fields.

  • Name: Enter a name for the status.

  • Category: Select the type of status, either Pending or Completed.

  1. Repeat to create additional task statuses, if needed.

  2. Select Save.

The task status is created and can be used when creating, editing, and completing tasks.

Create task types

  1. From the left-side navigation, select Settings > Tasks.

  2. On the Task Types panel, select Add.

  3. Populate the fields.

  • Name: Enter a name for the task type.

  • To add a Pending Status or Completed Status, select an option from the left column, and then select the right-facing arrow.

    The statuses display in the Assigned column. To remove a status from the Assigned column, select it, and then select the left-facing arrow.

  1. Repeat to create additional task types, if needed.

  2. Select Add Task Type.

The task type is created and can be used when creating tasks.

Edit task statuses or types

  1. From the left-side navigation, select Settings > Tasks.

  2. On the Task Statuses or Task Types panel, select Edit.

  3. Adjust the fields as needed.

  4. Select Save.

The task type or status is updated.

Delete task statuses or types

  1. From the left-side navigation, select Settings > Tasks.

  2. On the Task Statuses or Task Types panel, select Edit.

  3. Find the appropriate item, and then select the Delete icon.

  4. Select Save.

The type or status is deleted and can't be used for new or existing tasks.

Create a task template

  1. From the left-side navigation, select Settings > Tasks.

  2. On the Task Templates panel, select Edit.

  3. Select Add Row.

  4. Populate the fields.

  • Name: Enter a name for the task. Users can select the template's name when creating a task.

  • Description (optional): Enter a brief description of the task.

  • # of Days (optional): Enter the number of days after the task is created that it will be due.

  • Type: Select the type of task.

  1. Repeat to create more templates, if needed.

  2. Select Save.

Edit or delete a template

  1. From the left-side navigation, select Settings > Tasks.

  2. On the Task Templates panel, select Edit.

  • Edit a template: Adjust the fields as desired.

  • Delete a template: Select the Delete icon for a template.

  1. Select Save.
