Approve or Reject Workflows
Summary
The My Work Flows window displays all of the workflows that have been generated for or by your user account. For example, if you are set up to approve timesheets in the Payroll module Timesheets Approval process, all Timesheets Approval batches that are awaiting your approval will display in the window. The timesheets can either be approved from this window, or you can navigate to the Payroll module and approve the timesheets from the Timesheets Approval batch.

Step by Step
Once you have received an action notification alert, there are four ways you can approve or reject the workflow.

- The Tasks and Approvals section of the Cirrus Home page will display any outstanding task and approvals that need your attention.
- The total and unread number will displayed for each. A number indicator
will also appear next to the Home item on the main navigation window if the user has outstanding task or approvals.

- The Approvals screen can be set to display work flows in Card View
or in Grid View
. See steps 2 and 3 below to learn how to process work flow approvals in each of these views.

When Card View is selected
, each workflow will display as a horizontal card that can be expanded.
- Each workflow will display the status, work flow title, process, batch, step, and author. They will be displayed in blue if new, in green if approved, in gray if in progress, and in red if rejected.
- Click the History button
to open the workflow history.
- The displayed workflow history will include approvals and rejections along with any notes that were included. Any conversation entries will also be displayed.
- Click the Arrow buttons to expand
and contract
the workflow in order to display the individual workflow steps.
- Once the steps are expanded, click the Comment button
to read any comments associated with the workflow step.
- Click OPEN on a workflow step to open the report or process that needs approval.
- Click the Approve icon
to approve the open workflow.
- This will open the approval pane to the right of the window with a text box and an Approve button. Enter any approval notes in the text box and click the Approve button
to approve the workflow.
- The approval notes will display next to Notes: for that workflow step.
- You can also click the Approve drop-down menu and select Approve and Go To Batch
. This will approve the workflow in the same way the standard Approve button does but you will also be directed to the next step in the batch being approved. If there are remaining steps for the workflow or other open workflows in the batch, then you will be redirected to the Review Workflow step in the batch being approved.
- This will open the approval pane to the right of the window with a text box and an Approve button. Enter any approval notes in the text box and click the Approve button
Click the Reject icon
to reject the open workflow.
This will open the rejection pane to the right of the window with a text box and a Reject button. Enter any rejection notes in the text box and click the Reject button
to reject the workflow.
The rejection notes will display next to Notes: for that workflow step.
If the workflow is associated with a report or process that has not yet been released in Cirrus, a message will display directing you to open the relevant report or process in Springbrook Enterprise. Once the workflow step is approved or rejected in Springbrook Enterprise, you will be able to continue processing the workflow in Cirrus.

Click the Comment button
to initiate an instant message conversation with the workflow author.

Type your question or comment and the work flow author will be able to respond on the same window. Each new comment will be displayed above the editable comment box.

When Grid View is selected
, each workflow will display as a row in the workflow grid. The purpose of the Grid View to display all the relevant workflow data and provide access to all the workflow actions on a single screen.

The workflow data grid can be customized in the same way other Cirrus data grids can be customized. You can hide, display, re-size, or rearrange columns, group and sort column data, and export the displayed workflow information. Click here for information on working with Cirrus Data Grids.

Check the Only show my current active steps toggle to limit the workflows in the grid to those that currently require your attention.
- Click the Open button
to the open the batch step associated with the workflow. Once open, you can approve, reject, or comment on the workflow from the open step.
- Click the Attachments button
to open any attachments that are associated with process.
- Click the Comment button
to add comments to the workflow step.
- Type your question or comment and the workflow author will be able to respond on the same window. Each new comment will be displayed above the editable comment box.
- An indicator will display on the Comment button
if there are already comments on the workflow step.
- Click the Approve icon
to approve the open workflow.
- This will open the approval pane to the right of the window with a text box and an Approve button. Enter any approval notes in the text box and click the Approve button
to approve the workflow.
- The approval notes will display in the Review Notes column for that work flowstep.
- You can also click the Approve drop-down menu and select Approve and Go To Batch

- Some workflows can be expanded to display the information relevant to the workflow. Click the arrow
at the left of the workflow to expand that information below. The batch process workflows that support expanded information include:
- AP> Invoices workflows will display:
- Invoice Number - Vendor Number - Vendor Name, Invoice Date, Invoice Description, GL Account, GL Account Description, Line Item Amount, and Invoice Total Amount
- PO> Change Orders and Purchase Orders workflows will display:
- PO Number - Vendor Number - Vendor Name, PO Description, GL Account, GL Account Description, Line Item Amount, Line Item Date, and PO Total Amount
- PR> Timesheets Approval workflows will display:
- Employee Number - Employee Name - Timesheet Period, Timesheet Description, Paycode, Paycode Description, Line Item Date, and Hours.
- AP> Invoices workflows will display:

- Clicking the Work Flows link on the notification email will open only the process window that requires your approval or notification. You will still be prompted to log on to the application, but you will only have access to the window in question.
- In order to receive notification emails generated by a workflow, your user account must be set up properly on the My Profile> General tab accessed via the Profile icon
in the top menu. Click here for information on the My Profile settings.

- The number of tasks that require your attention will display in the Tasks box of the Tasks and Approvals section. These tasks include workflow and personnel action form notifications. The Type column will display the notification type.
- The My Tasks window displays each task as an independent line item.
- Approve, Reject, or comment on the workflow as described above.
- Once all of the workflow steps have been approved or rejected, the workflow will no longer display in the window.

- The My Work Flows window (SS> Work Flow> My Work Flows) will display all of the outstanding workflows awaiting your attention. The workflows displayed in this window are the same workflows that are displayed in the Tasks and Approvals section outlined above.
- Approve, Reject, or comment on the workflow as described above.

- Finally, you can navigate directly into the process in question, click Review Work Flows from within the process menu and follow the same steps as above.
- Both action and information notification alerts will display the module, process, and batch information for the workflow that requires your attention.
- If you attempt to approve or reject a workflow that has timed out or already been committed or deleted, you will receive an error message.
