Attachments in Cirrus
The Attachments window is used to attach scanned documents, electronic files, images or files of any format to a database record, such as a CR Receipt.
1 Attach existing files to the record.
- Click the Attachments button
to open the Attachments window. - The left section of the Attachments window will display all the files currently attached to the record. Select an attachment and the file details will populate the data fields to the right.
- Click OPEN ATTACHMENT on the top of the window to download the selected attachment so it can be opened.
- Click DELETE to delete the selected attachment form the Cirrus database.
- From the drop-down button, click ADD NEW to add a new attachment to the record. This will display a new set of options to the right.
- You can browse to the attachment file by clicking the BROWSE button
- Cirrus also supports drag-and-drop functionality, allowing you to simply drag the file from it's current location to the Or drop files here area to the right of the button.
- Once an attachment has been added, enter optional Location Reference, Tracking Number, and Description data.
- Uploaded files are limited to 10MB in size.
- Click the Save button
to save the attachment to the record.
2 Scan new files and attach them to the record.
- From the drop-down button, click SCAN NEW to scan a new attachment and add it to the record.
- In order to scan documents into Cirrus, you must first download and install the Springbrook Agent. After successfully installing the Springbrook Agent, each user that attempts to scan an attachment will need to confirm the connection to the agent the first time they scan. - The Scan Attachments screen provides of options for scanning and editing the scanned attachments.
- The selections on this screen will persist after scanning, so the next time you open the Scan Attachments screen you will not need to specify all the scanner details again.
- The Source drop-down menu will display the connected scanners discovered by the Springbrook Agent. Scanners directly connected to the workstation and scanners on the workstation's network are both supported.
- Check the Duplex or Auto Feeder toggles if the selected scanner has those features enabled.
- The Pixel Type toggles are used to specify the color for the scanned document.
- Click the SCAN button to scan the document.
- You can also use the BROWSE button to manually attach a document from this screen. This can be helpful when you need to scan in some attachments and save existing files as other attachments on the same record.
- Once a document has been scanned, complete the Attachment Details section to finish the attachment process.
- Enter a unique Title for the scanned attachment.
- Check the toggle for the type of file you would like to attach to the record.
- When scanning documents into the AP Document Reader (AP> Invoices> Document Reader), the scanned document must be saved as a PDF file. Click here for information on the AP Document Reader.
- Enter optional Location, Reference Number, Tracking Number, and Description information for the attachment.
- The icons above the scanned document are used to edit the document before saving. These icons offer the same editing tools as those found in common image editing software.
- Use the Crop and Transform icon to crop or rotate the scanned document.
- Use the Annotation icon to edit the scanned document with lines, shapes, and text.
- Use the Finetune icon to edit the color, contrast, and brightness of the scanned document.
- Use the Filter icon to apply a specific filter to the scanned document.
- Use the Frame icon to add a frame to the scanned document.
- Use the Resize icon to adjust the vertical and horizontal dimensions of the scanned document.
- Use the Redact icon to apply a blur or pixelate effect to selected sections of the scanned document.
- Confirm each edit with the Apply icon before moving on to another editing tool.
- Change the document in the scanner and click the SCAN button again to add another scanned document to the attachment.
- Individual scanned or added images can be saved as PDF, TIFF, JPG, PNG, or SVG files.
- If more than one image is scanned or added for the attachment, it must be saved as a PDF file.
- Click DELETE CURRENT PAGE to delete the current page of the scanned document. All other pages in the document will remain.
- Click the Save button
to save the scanned document.- When Save is selected from the drop-down, the scanned document will be saved and another document can be scanned as an attachment.
- When Save and Close is selected from the drop-down, the scanned document will be saved, the Scan Attachments screen will close, and you will return to Attachments screen.
