Generate Web Users

The Generate Web Users tool is used to mass generate web user accounts for existing Springbrook users.

Step by Step

 

  • Open the Generate Web Users window (HR> Utilities> Generate Web Users).
  • Select a Notification Type for the generate tool.
    • If None is selected, the web user accounts will be created but the employees will not be notified.
    • If Email is selected, the generate tool will send an email notification to each employee selected.
      • Click the Notification Template field label to select an email template for the notification. Email templates are general email message templates that use merge fields to pull customer-specific information into the message.
      • Email templates are created and maintained on the Email Template Maintenance window (SS> Maintenance> Email Template). Click here for information on Email Template Maintenance.
    • If Letter is selected, the generate tool will create a printable form letter notification for each of the employees selected.
      • Click the Notification Template field label to select a form letter for the notification. Form letters are Microsoft Word documents that use merge fields to pull customer-specific information into the letter.
      • Forms are created and maintained on the Form Maintenance window (SS> Maintenance> Form). Click here for information on Form Maintenance.
  • Click the Add icon to add existing Springbrook users to the generate tool. This will open the HR Employee Selection window.
    • Enter the desired employee details in the Search Criteria tabs and click the Refresh icon to filter the employees displayed in the window.
    • Highlight the desired employees and click the Confirm icon to add the selected employees to the Generate Web Users tool.
      • Press the CTRL key while selecting to select multiple employees. Press the SHIFT key while selecting to select a range of employees.
  • The Email column will automatically populate with the email address attached to the selected employee's record. Edit this field if desired.
  • Click the Confirm icon to generate the web users.
