Process Web Approvals
Summary
The Web Approvals batch process is used to approve or reject changes to Employee Self Service accounts. This process will only be enabled if the Require web approvals toggle is checked on the Employee Self Service (ESS) Setup window (SS> Web Application Setup> Employee Self Service> General tab).

Step by Step
1 Create a Web Approvals batch.
- Select the Web Approvals palette in HR> Web Approvals. This will expand the Web Approvals palette and display the steps of the batch process.
- Modify an existing batch or create a new Web Approvals batch.
- Select a batch number from the drop-down menu at the top of the Web Approvals palette to select an existing batch.
- Select New from the Web Approvals batch number drop-down menu to create a new batch. This will open the New Batch window. Click here for information on the New Batch window.

- The Batch Month and Batch Year of the Web Approvals batch is used for reference only and is not necessarily the fiscal month and year the transactions in the batch will be posted to.
- Click the Generate icon to populate the Batch Number field with the next available batch number. Batch numbers are limited to five digits and must be unique within the batch month of the batch year.
- You can also manually create a new batch by entering a Batch Number and clicking the Save icon .
2 Select the changes to approve. This is an optional step.
- Open the Select Changes window (HR> Web Approvals> Select Changes).
- The Select Changes window will display all of the outstanding changes that web users have made to their accounts.
- Outstanding changes that are already included in other Web Approvals batches will not be displayed.
- Check the Selected toggle next to each change you would like to include in the batch.
- At least one change must be selected in order to proceed.
- Click the Save icon to proceed to the next step.
3 Approve or reject the selected changes.
- Open the Changes window (HR> Web Approvals> Changes).
- The Changes window will display all of the outstanding changes selected in the previous step.
- Click the Expand button next to a change to display the details of the change. The previous value and the new, updated value will be displayed for each field that was changed.
- Check the Void toggle if you would like to reject the selected changes.
- Click the Save icon to proceed to the next step.
4 Print the Web Approvals proof list.
- Open the Proof List window (HR> Web Approvals> Proof List).
- The Proof List report will display the Table Name, Action, Employee Number, Record Code, Field Name, Old Value and New Value for each change included in the batch.
- Click the Print icon to process the report immediately or enter a date and time in the field next to the Print icon to schedule the report to generate at a later time.
You can view the progress of the report on the Job Viewer window (SS> Utilities> Show Scheduled Jobs). Click here for information on the Jobs Viewer window.
- Click the Print icon drop-down menu and select Print Preview to preview the report before printing.
- Click the Print icon drop-down menu and select Excel to export the report data to an Excel spreadsheet as unformatted data.
- Click the Print icon drop-down menu and select Excel (Formatted) to export the report data to an Excel spreadsheet that includes much of the Springbrook formatting found on the printed version of the report.
- Once the report is generated, you can also display the report using the View Reports window (SS> Utilities> View Report). Click here for information on the View Reports window.
5 Commit the Web Approvals batch.
- Open the Commit window.
- Click the OK button to commit the Web Approvals batch.
- If the ESS online application is set up to notify users after approval or rejection, the appropriate emails will be sent to the included web users.
