Workers' Compensation Code Maintenance
Summary
The Workers' Compensation Maintenance window is used to create and maintain workers' compensation codes. The values entered in the Workers' Compensation Maintenance window will be used to calculate workers' compensation during the Calculate Payroll step of the Computer Checks process and when running workers'’ compensation reports (PR> Reports> Workers' Compensation Report). Workers' compensation can be calculated per dollar or hour worked, and this option is defined in the Setup window (PR> Utilities> Setup> Deductions tab> Workers' Compensation Calculated Per field).
Deductions are set up as workers' compensation deductions using the Deductions/Benefits Maintenance window (PR> Maintenance> Deductions/Benefits> Calculations tab> Calculation Method drop-down - From table, and Wage Type drop-down - Workers' Compensation Table). When a paycheck is generated, the workers' compensation deduction will be calculated using the workers' compensation rate code attached to the time card line item. This will default to the workers' compensation code attached to the employee record (PR> Maintenance> Employee> Financial tab> Workers' Compensation field). If there is a workers' compensation code attached to the rate code on the time card line item, the workers' compensation code on the rate code will override the workers' compensation code on the employee record. If there is a pay code attached to the time card line item, the workers' compensation code on the pay code will override the workers' compensation code on the rate code and the employee record.

Step by Step
- Highlight a workers' compensation code in the left section of the window and the Maintenance section will populate with the information associated with the selected code.
- Highlight a workers' compensation code and press DELETE or click the Delete icon to delete a workers' compensation code.
- You cannot delete a workers' compensation code that is attached to an employee record. Workers' compensation codes are attached to employees using the Employee Maintenance window (PR> Maintenance> Employee> Financial tab> Workers' Compensation field).
- You cannot delete a workers' compensation code that is attached to Payroll history items. For example, if a workers' compensation code is attached to a committed time card, you will not be able to delete the workers' compensation code.
- Press INSERT or click the Create icon to create a new workers' compensation code. This will create a new line item in the left section of the window.
- Enter a Workers' Compensation Code that can be recognized from a drop-down menu. The workers' compensation code can be up to six alphanumeric characters.
- Enter a description of the worker compensation code in the Description field. The description can be up to 30 alphanumeric characters.
- The Employee Dollars, Employer Dollars and Per field are used to enter the workers' compensation amounts and the rate which those dollars will accumulate.
- For example, assume you need to set up a workers' compensation record where the employee pays $3.25 and the employer pays $.01 for each $100 dollars. Enter 3.25 in the Employee Dollars field, enter .01 in the Employer Dollars field, and enter 100.00 in the Per field. The Per field can be used to calculate workers' compensation based on the dollars or hours worked depending on how the Payroll module is set up. Make sure Dollars is selected in the Workers' Compensation Calculated Per field on the Setup window if you would like to calculate workers' compensation based on dollars (PR> Utilities> Setup> Deductions tab> Workers' Compensation Calculated Per field).
- The Employee Dollars field is the employee paid portion of the rate.
- The Employer Dollars field is the employer paid potion of the rate.
- The Per field defines a workers' compensation unit and the functionality of this field will vary depending on how the PR module is set up (PR> Utilities> Setup> Deduction tab> Workers' Compensation Calculated Per field> Dollar or Hours).
- If workers' compensation is set up to calculate based on the hours worked, the value in the Per field represents a number of hours.
- If the workers' compensation is set up to calculate based on a dollar amount, the value in the Per field represents a dollar value.
- Press ENTER or click the Save icon when complete to save the workers' compensation code.
